Spring Gala 2020 Internship

OVERVIEW: This position offers hands-on experience in event planning. The intern will work closely with ERS’s Producing Director Ariana Smart Truman, along with other staff, gaining exposure to every aspect of planning our Spring Gala on May 11th, 2020. The intern will work at the ERS office leading up to the event and also be “on-the-ground” helping to run the event. The position begins immediately and ends one week after the event itself. There is a $35 per week stipend available for this internship.

DETAILS: This position is ideal for students or professionals interested in producing large-scale charity events for medium to high-level donors. It is a unique opportunity to learn about Elevator Repair Service as an artist-led non-profit, as well as non-profit events management in general.

Applicants must have excellent organizational and communication skills. In particular, applicants should have facility with writing, reading budgets, excel spreadsheets, email communications, web research, calendar management, and social media. Applicants should also feel confident and savvy about getting around the city.

PRIMARY RESPONSIBILITIES MAY INCLUDE:

-Managing event calendar

-Organizing communications with benefit committee members

-Assembling and organizing invitations and mailings

-Participating in planning meetings with ERS staff and interns

-Tracking reservations and sending confirmation emails to guests

-Coordinating other volunteers and interns

-Soliciting and tracking silent auction items

-Scheduling eblasts

-Creating hourly schedules in advance of the day

-Participating in running the event

-Reconciling box office and other accounts following event

-Generally assisting Producing Director and ERS staff and company
